A store’s internet connection fails. The display still has power, but what appears next depends on the player, the content and how the system was configured. A saved promotional video may continue while a live webpage stops updating. A screen can remain on and still show information that is no longer useful.
Offline digital signage is a tested workflow, not simply a screen feature. Before relying on it, confirm which files and schedules are stored locally, which elements require a live connection, and how staff should respond when information becomes stale.
Separate playback from delivery and monitoring
Think about three jobs. The player renders content on the screen. The publishing system delivers new media and instructions. The monitoring system reports what the device is doing. A network interruption may affect these jobs differently.

Sort the playlist by its dependencies
Downloaded images and video
These are candidates for offline playback when the player supports local media and the complete files have already downloaded. Confirm supported formats, storage capacity and what happens if a file is incomplete. A scheduled item visible in the management dashboard is not proof that the device has received it.
Webpages, dashboards and live streams
Treat remotely hosted content as connection-dependent unless its offline behavior is specifically documented and tested. A webpage may rely on several external resources even if its opening screen appears cached. Xibo’s HLS widget documentation, for instance, explicitly requires an internet connection for that live-streaming feature.
Do not use one successful test of a downloaded video to approve a playlist containing embedded websites, authentication screens or live data feeds. Each content type needs its own result.
Time-sensitive information
A cached offer can become wrong after its expiry time. Transport status, availability, event changes and queue information can become misleading before the screen goes blank. Decide when each item should stop appearing and what replaces it. Check whether those rules still operate without contact with the management server.
Build a useful fallback playlist
Choose material that remains accurate during the expected outage: a brand introduction, a general product collection, store navigation or an invitation to ask staff. Keep it short and maintain it like the main playlist.
A fashion retailer might use “Explore the collection” with approved product photography rather than a price promotion that expires at noon. A venue might display a stable floor map and a staff-assistance message instead of a live event feed. These are content-planning examples, not guarantees of sales or uninterrupted service.
Exclude safety-critical directions or emergency messaging from assumptions about this fallback. Follow the site’s established procedures and dedicated systems for those uses. Likewise, do not describe old data as “live” simply because it is still visible.
Test interruption and recovery separately
Use a test display or an agreed maintenance window. Coordinate with the network owner; do not disrupt a trading store’s shared network just to test a screen.
- Record the working baseline. Note the player software, display configuration, playlist version, time zone and intended schedule.
- Confirm delivery. Check that required media and the intended schedule have reached the device before disconnecting it.
- Remove only the test device’s network access. Observe each playlist item and note errors, frozen data and missing elements.
- Cross a scheduled change. Test what happens when an item expires or a new time slot begins while the device remains offline.
- Restart while disconnected. Verify whether local playback resumes after a normal restart. Continuing from memory and starting again are different tests.
- Restore connectivity. Check that content updates complete and the intended current schedule replaces the fallback.
- Verify reporting. Establish which status or playback records are available after reconnection, without assuming missing records prove nothing played.
A network outage test does not cover a power outage. Keep those risks separate when deciding what equipment and operating procedures the site needs.
Match the display to the proven playback setup

Request confirmation of local storage, supported media formats, publishing method, offline startup and any activation or licensing dependencies. Give staff a simple response plan
Assign someone to check the actual screen when monitoring reports it unreachable. Record whether the problem is missing connectivity, outdated content, failed playback or loss of power. A remote “offline” status alone cannot tell staff what customers see.
Document who may load replacement content and where approved files are stored. If removable media is part of the supplier-supported process, apply your organization’s device and file-handling rules. Avoid improvised downloads or unknown USB drives during an outage.
Re-test after a significant player update, a new content type or a change to authentication. The useful outcome is a known fallback and a predictable recovery—not an unsupported promise that a screen will never fail.
